Catering & Food Services Policy – Home Office

All catering and food services paid for by the Bright Horizons at the Newton Home Office and the Jim Greenman Innovation Center are subject to this policy to promote responsible, effective spending and assure the appropriate use of Company funds. All Home Office catering and food services are provided by “Sebastians,” the on-site food service operator. Requests to utilize a caterer other than Sebastians and the reason therefore must be submitted to the Office Services Department for review and approval at least five (5) days in advance.

Catering Services

Catering expenses must be covered in the existing department budget, and if they are not, VP approval is required.

Company-paid catering services are permitted for the following:

• Business meetings, which include a client or a guest, when the meeting overlaps with a normal mealtime.
• Internal meetings that require continuous work through and beyond a normal mealtime.
• Teams working during non-business hours (weekdays after 7:00 p.m. or more than 4 hours on a non-work day) to meet specific business deadlines or objectives (i.e. year-end close/audit, IT systems upgrade, etc.), with VP approval before the meal order is placed.
• Training classes or sessions lasting more than 4 hours.

Placing a Catering Order Catering must be ordered at least 24 hours before the event via https://brighthorizons.catertrax.com. The only exception is for unplanned events (e.g. previously unscheduled and occurring within 24 hours) for no more than six individuals. These orders must be placed through www.toasttab.com/sebastians-bright-horizons.

On-Site Food Service

Sebastians also provides exclusive, on-site food services. A personal order for food at the on-site café can be placed either in person or through: www.toasttab.com/sebastians-bright-horizons. Employees may order personal meals from external restaurants/vendors at their own cost. Deliveries must be accepted by the employee outside the building.

Employees and external parties (e.g. client, vendor, parent) may supply their own food items for personal or group consumption (e.g. Department “potluck” meals, bagels/doughnuts, snacks); however these items are at their own cost and will not be reimbursed by the Company.
